Closing a case file: the steps before it goes to storage

When a case ends, a short checklist makes sure money is settled, the client is told, and the file is ready to archive.

Closing a file is part of the case. Counsel directs each step; support staff work through the list.

Before the file closes

  • Every disbursement made and every lien resolved, as counsel directs.
  • The trust account shows a zero balance for the client.
  • A closing letter to the client, approved by counsel.
  • Original documents returned to the client.
  • Calendar entries and reminders removed.
  • Experts, vendors and court reporters paid.

Then archive

Record the closing date and the date the file may be destroyed under the firm's retention policy.

Our case closing checklist walks through each step.
