Organizing an injury case file from day one

Injury matters live and die on records that arrive over months. A file organized from the first week makes every later step faster, from demand to trial.

Personal injury and other damages cases build slowly: treatment continues, bills arrive, insurers respond, and records trickle in. Firms of every size do better when the file has the same structure from the start.

A standard folder set

  • Intake: the client's account, photos, police or incident reports and insurance information.
  • Medical: one folder per provider, with requests, follow-ups and records.
  • Bills and liens: every bill, ledger and lien notice, by provider.
  • Wages and other losses: pay records, employer letters and receipts.
  • Insurance: claim numbers, adjusters and every letter in and out.
  • Pleadings and discovery, once suit is filed.

Running documents

Keep three living documents current: a treatment chronology, a medical bills summary and a records request log. Together they answer most of the questions anyone will ask about the case.

Name files the same way every time

Date, provider or source, and a short description. A consistent naming habit is worth more than any software.

Our case file checklist, medical bills summary and records request log cover the running documents.
