Tracking truck expenses by unit and by mile

Knowing what each truck really costs per mile is what separates a good load from a bad one. A simple monthly log by category makes the number easy.

Owner-operators and small fleets often know their fuel cost but not their full cost per mile. Repairs, tires, insurance and tolls change the picture.

Log by category

  • Fuel and DEF.
  • Repairs and maintenance, and tires.
  • Insurance and permits.
  • Truck and trailer payments.
  • Tolls, scales and parking.
  • ELD, load board and phone.

Divide by miles

At the end of each month, divide total costs by total miles, loaded and empty. That is the cost per mile every load must beat.

Keep the receipts

Receipts support taxes and IFTA. Photograph them the day they are paid.

Our truck expense log totals each month and figures cost per mile.
